MemberCrew gives the committee its figures on one screen, a report for the questions that come up at every meeting, and AI reports that find the right one from a plain-English question. Each person sees only what their role allows, and every change is recorded.

What this part of MemberCrew does

Committee tools are the parts of MemberCrew the committee works from together: the figures, the reports, who can see what, and the record of who changed what. They all draw from the same membership records, so the secretary’s numbers and the treasurer’s numbers agree.

The committee overview

The committee overview brings the club’s key numbers together on one screen, each a live count from the club’s records: members on record and current, renewals paid and outstanding, dues still to collect, invoices owing, vehicles and log books, members by membership type, and recent activity.

Roles

Each committee member has a role, and sees only what the job needs:

Roles are enforced in the database, not only on the screen, so a role that cannot see the club’s money gets nothing, not just a hidden button. An admin gives roles from the Roles tab in the club’s settings.

The Gate role is for event volunteers. An admin assigns it for one event or for all events, with an optional end date after which access stops on its own. A gate volunteer does not need to be a financial member. The events and tickets page covers gate check-in.

Reports

The report library answers the questions that come up at committee meetings, the AGM and Scheme reporting time: who is financial, who is due to renew, who is owed a long-service award, what came in, and which log books are current.

Every list and report sorts by clicking a column heading, with the sort kept in the page address so it survives a refresh and can be shared. Names show as separate first name and surname columns. Every report can be printed or downloaded as a CSV file. The reports and exports page lists every report.

AI reports

AI reports let a committee member ask in plain English, for example “who still owes this year?” or “log books expiring next June”, and the right report opens.

  • The AI never sees member data. AI reports send only the question and the list of reports, never member data. The AI does not see names, counts or results, and it never searches the database itself.
  • Your own permissions. The AI chooses one report and its settings, and MemberCrew runs that report with the signed-in person’s own permissions. A report the role cannot see is never offered.
  • You can see what ran. A line with the results says which report and settings were used, with a link to open the report normally.
  • Plain answers. If no report fits, AI reports say so and suggest the closest reports.
  • Recorded. Each question, the report chosen and who asked are recorded in the activity log, and each club has a daily limit on questions.

Questions about places and vehicles have lists to land on. Ask for members near a suburb, owners of a make, bikes made before a year, or financial members who joined before a date, and MemberCrew fills in the filters from a fixed list for each report. A plain sentence above the results says what ran, and each part can be changed or removed by hand, with filters and columns added without asking again. Lists can be printed with the club’s name and logo, downloaded as CSV or Excel, or made into mailing labels for common A4 label sheets. Where members live is worked out inside MemberCrew from their suburb and postcode, and no member’s address is sent to any outside service. A refinement sends the AI only the current settings and the instruction, never data.

The activity log

Every change in MemberCrew is recorded, showing who made it, when and which fields changed. Admins filter the log by person, type, date and member, and download the current view as CSV.

Each member’s record has a History tab with everything that has happened to them. For anyone with a login, a second view shows the changes that person has made, which is useful when a committee member hands over or a figure needs explaining. Work done by MemberCrew support is labelled as support, never put down to a club member. The roles and activity log page has the detail.

Common questions

Does the AI see our members' details?

No. AI reports send only the question and the list of reports, never member data. The AI chooses a report and its settings, and MemberCrew then runs that report with your own permissions, so you only ever see what your role allows.

What if no report fits the question?

AI reports say so plainly and suggest the closest reports. A report your role cannot see is never offered.

Can we sort a report by surname or date?

Yes. Every list and report sorts by clicking a column heading, and clicking again reverses it. Sorting happens across all the club's records, not just the page you are looking at, and the sort stays in the page address, so a bookmarked or shared link opens the same way.

Who can see what?

Each committee member has a role: admin, registrar, treasurer or editor. Each role sees only what the job needs, and the database enforces it, not just the screens. A Gate role lets event volunteers check people in and nothing else.
